Overview:

You will play a crucial role in overseeing the daily operations and ensuring the well-being of animals in our care. Your responsibilities will encompass various aspects, including staff management, animal care, facility maintenance, and volunteer engagement. We are seeking an individual who is passionate about animal welfare, possesses strong leadership skills, and is dedicated to making a positive impact on the lives of animals and the community.

Responsibilities:

Staff Management

  • Train, supervise shelter staff and volunteers including safety procedures.
  • Take ownership on staff activities outcomes.
  • Schedule and delegate tasks effectively to ensure smooth operations.
  • Provide guidance, support, and performance feedback to staff members.
  • Facilitate weekly meetings to address and resolve challenges encountered by staff, and communicate issues to administration or HR.
  • Maintain constant communication with managers, staff, and vendors to ensure proper operations of the organization.
  • Implement conflict-resolution programs and lead conflict-management practices.

Animal Care

  • Oversee the health, nutrition, and enrichment of animals in the shelter.
  • Implement protocols for the intake, assessment, and rescues.
  • Ensure that all animals receive appropriate medical care, including vaccinations, spaying/neutering, and treatment for illnesses or injuries.
  • Maintain a supportive environment for shelter animals, ensuring their needs are met.
  • Perform physical tasks as needed, including kneeling, crawling, bending, and standing for prolonged periods when working directly with animals.
  • Demonstrate resilience in managing stressful and chaotic environments, regardless of timelines characterized by loud noises and unpleasant odors, and handling animals with traumatic histories.

Facility Management

  • Maintain accurate records of employee daily task completion, and other relevant data.
  • Coordinate facility maintenance and repairs as needed, including proactive checking of facilities.
  • Manage employee assets and inventory of supplies, including food, bedding, and medical supplies.
  • Maintain a clean, safe, and welcoming environment for animals, staff (residents), and visitors. Guide staff on waste reduction and recycling.
  • Purchase approved materials, plan inventory, and oversee warehouse efficiency.

Operational Management:

  • Manage procurement processes for shelter supplies, including negotiating with vendors and processing invoices.
  • Implement approved cost-saving measures to optimize shelter expenditures without compromising on quality.
  • Oversee all operational aspects of the shelter, developing and executing strategies to meet organizational and employee needs.
  • Foster a positive workplace culture and ensure adherence to organization values.
  • Coordinate interdepartmental collaboration to streamline workflow and improve efficiency.
  • Ensure compliance with financial, legal, HR regulations and reporting requirements.
  • Suggest practical improvement measures on operational management systems, processes.

Community Engagement

  • Organize and participate in outreach events, fundraisers, and educational programs to promote animal welfare and passive adoption.

Record-keeping and Reporting

  • Maintain accurate records of animal intake, passive adoption, medical treatment, and other relevant data.
  • Prepare reports on shelter activities, including statistics on passive adoptions, euthanasia, and other key metrics.

Knowledge of:

  •  Proficiency in computer skills, including database management, email, Microsoft Office,
    and presentation software.
  • Familiarity with typical office protocols, methods, and equipment.
  • Knowledge of safety protocols and adherence to safe working procedures.
  • Skill in maintaining precise record-keeping.

Qualifications:

  • Bachelor’s or Master’s degree in animal science, veterinary technology, business management, nonprofit management, or related field (or equivalent experience).

Required Background, Experience and Skills:

  • Total 6+ experience in operations management, with demonstrated leadership and supervisory skills.
  • Demonstrated expertise in inventory management, including inventory optimization, forecasting, and inventory control techniques.
  • Proven track record of successfully managing cross-functional teams and driving operational excellence across multiple departments.
  • Experience in implementing and managing ERP (Enterprise Resource Planning) systems to streamline operations and improve efficiency.
  • Strong knowledge of animal care best practices, including handling, behavior, and medical needs.

The Operations Manager plays a vital role in providing care and support to animals in need while also serving as a community advocate for animal welfare. This position requires a combination of managerial, organizational, and animal care skills, along with a passion for making a positive difference in the lives of animals and the community.
